Oikeusperuste ja henkilötietojen käsittelyn tarkoitus

Henkilötietojen käsittely perustuu Hotelli Korpikartano Oy:n oikeutettuun etuun, sopimukseen tai muuhun asialliseen yhteyteen. Henkilötietojen käyttötarkoitus on Hotelli Korpikartano Oy:n ja sen asiakkaiden ja yhteistyökumppaneiden välisen suhteen hoitaminen, ylläpito, kehittäminen, analysointi ja tilastointi. Lisäksi tietoja voidaan käyttää markkinointiin ja profilointiin. Tietoja voidaan käyttää myös Hotelli Korpikartano Oy:n liiketoiminnan ja palveluiden suunnittelemiseen ja kehittämiseen. Tietoja ei käytetä automatisoituun päätöksentekoon tai profilointiin.

Rekisterin suojauksen periaatteet

A. Manuaalinen aineisto
Jos digitaalisesti tallennetusta rekisteristä tulostetaan manuaalista aineistoa, aineisto säilytetään lukitussa tilassa ja rekisterinpitäjällä ja lain määräämillä viranomaisilla on ainoastaan aineiston käyttöoikeus.

B. Digitaalisesti talletetut tiedot
Rekisteri sijaitsee Hotelli Korpikartanon omistamalla palvelimella, Microsoft 365 pilvipalvelussa sekä Leadoo:n ylläpitämässä yrityskohtaisessa palvelimessa, joka on sijoitettu valvottuun palvelinkeskukseen. Täydellisiin rekisteritietoihin pääsee käsiksi ainoastaan rekisterinpitäjä ja Hotelli Korpikartanon tekninen ylläpitohenkilöstö.

Rekisteriä ylläpidetään myös asiakashallintajärjestelmän Codegem Travius- palvelun palvelimilla.

Rekisterin tietolähteet ja tietosisältö

Rekisterin tiedot kerätään säännönmukaisesti asiakkaalta itseltään sopimuksen solmimisen yhteydessä ja sen aikana saaduista tiedoista. Tietoja voidaan kerätä myös asiakkaiden nettisivuilta ja esitteistä. Lisäksi rekisteriin tallennettavia tietoja saadaan mm. www-lomakkeilla lähetetyistä viesteistä, sähköpostitse, puhelimitse, sosiaalisen median palvelujen kautta, sopimuksista, asiakastapaamisista ja muista tilanteista, joissa asiakas luovuttaa tietojaan. Henkilötietoja voidaan lisäksi kerätä ja päivittää väestörekisteristä, luottotietorekisteristä ja muista vastaavista julkisista ja yksityisistä rekistereistä. Keräämme tietoa myös verkkosivustomme kävijätietoa, jotta voisimme analysoida ja kehittää sivustoamme entistäkin paremmaksi ja kohdentaa kävijöille relevanttia markkinointia. 

Rekisteriin tallennettavia tietoja voi olla muun muassa: henkilön nimi, asema, yritys/organisaatio, yhteystiedot (puhelinnumero, sähköpostiosoite, osoite), yrityksen yhteystiedot.

Rekisteri uutiskirjettä kohtaan

Uutiskirjeen henkilötietorekisteriä ylläpidetään Squarespace.com:in omassa rekisterissä, joka on ainoastaan Hotelli Korpikartano Oy:n hallussa palveluntarjoajan palvelimella. Muilla tai kolmansilla osapuolilla ei ole pääsyä rekisteriin tai tietokantaan.

Tietokantaan tallennetaan vain seuraavat tiedot:

Nimi, puhelinnumero ja sähköposti.

Rekisteriin tallennetulla henkilöllä on täysi oikeus tulla unohdetuksi rekisterissä ja tietokannassa. Tästä tulee lähettää kirjallinen pyyntö rekisterin ylläpitäjälle. Vanhat, yli kolme vuotta in-aktiivisena olleet tiedot poistuvat automaattisesti rekisteristä.

Rekisteri asiakastietoja kohtaan hotelli- ja ravintolatoiminnassa

Hotelli- ja ravintola-asiakkaiden henkilötietorekisteriä ylläpidetään Hotelli Korpikartano Oy:n omassa CMS- järjestelmän rekisterissä, joka on ainoastaan Hotelli Korpikartano Oy:n hallussa, järjestelmän omassa palvelimessa. Muilla tai kolmansilla osapuolilla ei ole pääsyä rekisteriin tai tietokantaan.

Tietokantaan tallennetaan hotelli- ja ravintolavarauksiin tarpeellisiksi nähdyt tiedot. Asiakkaan osoitetiedot ja tarvittaessa maksuvälinetiedot ovat pakollisia tallennettavia tietoja.

Rekisteriin tallennetulla henkilöllä on täysi oikeus tulla unohdetuksi rekisterissä ja tietokannassa. Tästä tulee lähettää kirjallinen pyyntö rekisterin ylläpitäjälle. Vanhat, yli kolme vuotta in-aktiivisena olleet tiedot poistuvat automaattisesti rekisteristä.

Rekisterin tietojen tarpeellisuus

Yrityksessä rajoitetaan tiedon kerääminen ja käsitteleminen vain tarpeellisiin tietoihin. Tarpeeton ja vanhentunut tieto poistetaan. Henkilötietoja käsittelee yrityksemme henkilöstöön kuuluvat henkilöt työtehtäviään suorittaessa. Emme säilytä henkilötietojasi pidempään kuin on tarpeellista niiden käyttötarkoitukselle tai kuin sopimus tai laki vaatii. Henkilötietojen säilytysajat voivat kuitenkin vaihdella käyttötarkoituksesta ja tilanteesta riippuen. Lähtökohtaisesti tietoja säilytetään niin kauan, kun tietoja tarvitaan suhteen ylläpitämiseksi.

Tietojen säännönmukaiset luovutukset ja tietojen siirto EU:n tai ETA:n ulkopuolelle

Tietoja ei luovuteta säännönmukaisesti muille tahoille. Tietoja voidaan julkaista siltä osin kuin niin on sovittu asiakkaan kanssa. Lisäksi tietoja voidaan satunnaisesti luovuttaa Suomen lain mukaisesti. Tietoja ei lähtökohtaisesti luovuteta EU:n ulkopuolelle, mutta tarvittaessa tietoja voidaan siirtää rekisterinpitäjän toimesta myös EU:n tai ETA:n ulkopuolelle. Mikäli näin tapahtuisi, huolehdimme siitä, että tietojesi käsittely, siirto ja tallennus toteutetaan lain edellyttämin perustein ja riittävin suojamekanismein.

Rekisterin suojauksen periaatteet

Rekisterin käsittelyssä noudatetaan huolellisuutta ja tietojärjestelmien avulla käsiteltävät tiedot suojataan asianmukaisesti. Rekisterien käyttöoikeudet ovat vain henkilöillä, joiden työnkuvaan rekisterin käyttäminen kuuluu.

Jokaisella käyttöoikeudellisella henkilöllä on oma käyttäjätunnus ja salasana palveluun. Tallennettuja tietoja, rekisterien käyttöoikeuksia ja muita henkilötietojen turvallisuuden kannalta kriittisiä tietoja käsitellään luottamuksellisesti.

Tarkastusoikeus ja oikeus vaatia tiedon korjaamista

Jokaisella rekisterissä olevalla henkilöllä on oikeus tarkistaa rekisteriin tallennetut tietonsa ja vaatia mahdollisen virheellisen tiedon korjaamista tai puutteellisen tiedon täydentämistä. Mikäli henkilö haluaa tarkistaa hänestä tallennetut tiedot tai vaatia niihin oikaisua, pyyntö tulee lähettää kirjallisesti rekisterinpitäjälle. Rekisterinpitäjä voi pyytää tarvittaessa pyynnön esittäjää todistamaan henkilöllisyytensä. Rekisterinpitäjä vastaa asiakkaalle EU:n tietosuoja-asetuksessa säädetyssä ajassa (pääsääntöisesti kuukauden kuluessa).

Muut henkilötietojen käsittelyyn liittyvät oikeudet

Rekisterissä olevalla henkilöllä on oikeus pyytää häntä koskevien henkilötietojen poistamiseen rekisteristä (“oikeus tulla unohdetuksi”). Niin ikään rekisteröidyillä on muut EU:n yleisen tietosuoja-asetuksen mukaiset oikeudet kuten henkilötietojen käsittelyn rajoittaminen tietyissä tilanteissa. Pyynnöt tulee lähettää kirjallisesti rekisterinpitäjälle. Rekisterinpitäjä voi pyytää tarvittaessa pyynnön esittäjää todistamaan henkilöllisyytensä. Rekisterinpitäjä vastaa asiakkaalle EU:n tietosuoja-asetuksessa säädetyssä ajassa (pääsääntöisesti kuukauden kuluessa).

Evästeet

Tämä sivusto käyttää evästeitä (cookies). Sivusto lähettää selaimelle pienen tiedoston, joka tallentuu tietokoneen kovalevylle. Käytössä on sekä (väliaikaisia) istuntotunnus-evästeitä, jotka sulkeutuvat, kun suljet Internet-selaimen, että pysyviä evästeitä, jotka tallentuvat tietokoneen kovalevylle. Evästeen tarkoituksena on parantaa käyttökokemusta sivustolla. Jos olet rekisteröitynyt käyttäjä, eväste hallinnoi myös sisäänkirjautumista ja pääsyä sivuille, jotka on tarkoitettu vain rekisteröityneille käyttäjille. Korpikartanon kolmannen osapuolen ohjelmien evästeet

Välttämättömät evästeet ja kolmannen osapuolen verkkokutsut mahdollistavat erilaisia toiminnollisuuksia, kuten sisäänkirjautumisen, ostoskoritoiminnallisuuden, sisältötyypin esittämisen ja erilaiset sivustokohtaiset asetukset taikka ne ovat välttämättömiä tietoturvan takaamiseksi, väärinkäytösten ehkäisemiseksi, virheiden korjaamiseksi, mainonnan ja sisällön jakelemiseksi, bottien estämiseksi tai online-yleisöjen viralliseksi mittaamiseksi. Sitä käytetään yleisesti myös verkkosivujen lähdekoodissa. Mainonnan estämisen havainnointiin tarkoitettu JavaScript-koodi jäljittelee mainosta ja vahvistaa, että se näytetään käyttäjän laitteella. Mitään tietoja ei tallenneta käyttäjien laitteille eikä henkilökohtaisia tietoja käsitellä. Jos käyttäjä käyttää mainonnanesto-ohjelmaa, häneen saatetaan olla yhteydessä mainonnanestoa koskien ja/tai muokata hänelle tarjottavaa sisältöä.

Legal basis and purpose of processing personal data

The processing of personal data is based on the legitimate interest of Hotelli Korpikartano , an agreement, or other relevant connection. The purpose of using personal data is to manage, maintain, develop, analyze, and compile statistics on the relationship between Hotelli Korpikartano and its customers and partners. In addition, the data may be used for marketing and profiling. The data may also be used for planning and developing Hotelli Korpikartano business and services. The data will not be used for automated decision-making or profiling.

Principles of register protection

A. Manual material
If manual material is printed from a digitally stored register, the material shall be stored in a locked space and only the registrar and authorities designated by law shall have access to the material.

B. Digitally stored data
The register is located on a server owned by Hotel Korpikartano, in the Microsoft 365 cloud service, and on a company-specific server maintained by Leadoo, which is located in a monitored server center. Only the controller and the technical maintenance staff of Hotel Korpikartano have access to the complete register data.

The register is also maintained on the servers of the Codegem Travius customer management system.

Sources of information and content of the register

The information in the register is collected regularly from the customer themselves when the agreement is concluded and from information obtained during the agreement period. Information may also be collected from customers' websites and brochures. In addition, information stored in the register is obtained, for example, from messages sent via web forms, by email, by telephone, through social media services, from agreements, customer meetings, and other situations in which the customer provides their information. Personal data may also be collected and updated from the population register, credit information register, and other similar public and private registers. We also collect information about visitors to our website so that we can analyze and develop our site to make it even better and target relevant marketing to visitors. 

The information stored in the register may include: the person's name, position, company/organization, contact details (telephone number, email address, address), and company contact details.

Register for the newsletter

The newsletter's personal data register is maintained in Squarespace.com's own register, which is solely controlled by Hotelli Korpikartano on the service provider's server. Other parties or third parties do not have access to the register or database.

Only the following information is stored in the database:

Name, phone number, and email address.

A person stored in the register has the full right to be forgotten in the register and database. A written request must be sent to the register administrator. Old data that has been inactive for more than three years will be automatically deleted from the register.

Register of customer data in hotel and restaurant operations

The personal data register of hotel and restaurant customers is maintained in Hotelli Korpikartano own CMS system register, which is solely controlled by Hotelli Korpikartano on the system's own server. No other parties or third parties have access to the register or database.

The database stores information deemed necessary for hotel and restaurant reservations. The customer's address details and, if necessary, payment method details are mandatory information that must be stored.

A person stored in the register has the full right to be forgotten in the register and database. A written request must be sent to the register administrator. Old data that has been inactive for more than three years will be automatically deleted from the register.

Necessity of the data in the register

The company limits the collection and processing of data to only necessary information. Unnecessary and outdated information is deleted. Personal data is processed by our company's personnel in the course of their work. We do not store your personal data for longer than is necessary for its intended use or as required by contract or law. However, the retention periods for personal data may vary depending on the purpose of use and the situation. As a rule, data is retained for as long as it is needed to maintain the relationship.

Regular disclosure of data and transfer of data outside the EU or EEA

Information is not regularly disclosed to other parties. Information may be published to the extent agreed with the customer. In addition, data may be disclosed on an occasional basis in accordance with Finnish law. As a rule, data will not be disclosed outside the EU, but if necessary, the data controller may also transfer data outside the EU or EEA. If this happens, we will ensure that the processing, transfer, and storage of your data is carried out in accordance with the law and with adequate safeguards.

Principles of register protection

The register is handled with care, and data processed using information systems is protected appropriately. Only persons whose job description includes the use of the register have access rights to the registers.

Each person with access rights has their own username and password for the service. Stored data, access rights to registers, and other information critical to the security of personal data are treated confidentially.

Right of inspection and right to request correction of information

Every person listed in the register has the right to check their information stored in the register and request that any incorrect information be corrected or incomplete information be supplemented. If a person wishes to check the information stored about them or request a correction, the request must be sent in writing to the controller. If necessary, the controller may ask the person making the request to prove their identity. The controller will respond to the customer within the time limit specified in the EU Data Protection Regulation (usually within one month).

Other rights related to the processing of personal data

A person included in the register has the right to request that their personal data be removed from the register (“right to be forgotten”). Similarly, data subjects have other rights under the EU General Data Protection Regulation, such as the right to restrict the processing of personal data in certain situations. Requests must be sent in writing to the controller. If necessary, the controller may ask the person making the request to prove their identity. The controller will respond to the customer within the time limit specified in the EU General Data Protection Regulation (usually within one month).

If a user uses an ad blocking program, they may be contacted regarding ad blocking and/or the content offered to them may be modified.
